INTERNSHIP

Requirements:

  • Senior Certificate/Grade 12
  • Willingness to adapt work schedule according to office requirements
  • Knowledge of Departmental Policies and Regulations, Government Legislation, Minimum Information Security Standards (MISS) Act, and general office administration functions
  • Basic communication and computer literacy skills
  • Basic numeracy and interpersonal relations skills
  • Strong Organizational and Basic Financial Management Skills for Effective Workplace Performance
  • Resourcefulness, presentability, professional demeanor, creativity, and ability to work under stressful situations
  • Ability to communicate effectively at all levels, being people-oriented, trustworthy, assertive, hard-working, and self-motivated

Receptionist Duties:

  • Provide reception services to the Office of the Director-General
  • Receive and direct telephone and electronic communications
  • Liaise with clients, managers, and stakeholders as directed
  • Welcome and engage visitors, maintaining a logbook of daily visitors
  • Ensure a clean and presentable reception area
  • Control access to the Office of the Director-General and support its security profile
  • Arrange and provide refreshments for visitors/clients as required
  • Offer general administrative support services, including receiving and administering information and documents, preparing and distributing documents, assisting with inquiries, and managing procurement processes
  • File, store, trace, and retrieve documents electronically and manually
  • Assist with travel and accommodation claims processing
  • Aid in the administration of leave for staff in the Office of the Director-General
  • Provide general secretarial services, such as arranging meetings, organizing logistics, preparing documentation, and managing travel, accommodation, and rental car claims
  • Ensure effective flow and safekeeping of information and documents, responding to inquiries and drafting documents as needed
