Requirements:

Completion of Matric/Grade 12 Certificate.
Proficiency in office administration and communication systems.
Strong written and verbal communication skills.
Excellent planning, organizing, and interpersonal skills.
Proactive and flexible with a keen attention to detail.
High level of computer literacy, including MS Word, Excel, PowerPoint, Access, and Outlook.

Duties:

Act as the primary point of contact for internal and external stakeholders, providing frontline service.
Greet and assist customers in a professional and friendly manner, ensuring efficient and courteous service.
Manage the flow of customers in the reception area, ensuring prompt and accurate attention.
Handle low-complexity queries and issues from visitors.
Receive, screen, and direct phone calls.
Handle clients, files, emails, documentation, and parcel deliveries, routing them to the appropriate office.
Take messages and follow up to ensure they are addressed.
Assist with tracking and following up on outstanding referrals for the unit.
Provide secretariat services to the contact centre, including typing minutes, memorandums, and correspondences.
Send invitations to officials via email and fax.
Receive and transmit messages within the unit.
File and type documents.
Provide administrative support services to the contact centre(Education).
Ensure proper operation of equipment and report any malfunctions.
Facilitate the flow of information and documents to and from the Director/s.
Safeguard all documentation in accordance with relevant legislation and policies.
Assist in the compilation of reports, such as progress reports and monthly reports.
Respond to inquiries from internal and external stakeholders.
